DiscordMind Privacy Policy

This Privacy Policy explains how DiscordMind collects, stores, and processes information when you use the DiscordMind Discord application and related services.

1. Who We Are

DiscordMind is an AI-powered Discord assistant that provides voice meeting recording, transcription, summaries, action items, decisions, and daily text-channel digests for Discord communities and teams.

2. What We Store

DiscordMind stores the minimum server-level data needed to operate the service. We do not store voice audio, transcripts, message content, or any personally identifiable information beyond what Discord provides at the server level.

The following data is handled in-memory during an active session only. It is never written to our database or retained after the session ends:

5. Recording Consent

When a /meeting recording starts, DiscordMind posts a visible embed in the text channel and plays an audio notice in the voice channel informing all participants that recording is in progress. Any participant who does not consent may leave the voice channel at any time to opt out of being recorded.

6. Third-Party AI Processing

To provide transcription and summarisation, audio and text content is sent to third-party AI providers during processing. The specific provider depends on your server's configuration:

Data is shared with these providers only for the duration of the processing request and solely to deliver the DiscordMind feature you triggered.

7. Data Retention

Server configuration and subscription data is retained for as long as DiscordMind remains active on your server or until you request deletion. Daily usage statistics are retained on a rolling basis to enforce plan limits. Voice audio, transcripts, and message content are never retained.

8. Data Deletion Requests

You may request deletion of your server's stored data (registration, configuration, subscription records, and usage statistics) by emailing privacy@discordmind.app with your Discord server ID. We will process deletion requests within a reasonable timeframe.

To remove meeting summaries or digest posts from your Discord server, delete those messages directly in Discord — we do not store copies on our end.

9. Children's Privacy

DiscordMind is not directed to children under 13. You must comply with Discord's age requirements when using DiscordMind.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of DiscordMind after changes means you accept the updated policy.
