This Privacy Policy explains how DiscordMind collects, stores, and processes information when you use the DiscordMind Discord application and related services.
1. Who We Are
DiscordMind is an AI-powered Discord assistant that provides voice meeting recording, transcription, summaries, action items, decisions, and daily text-channel digests for Discord communities and teams.
2. What We Store
DiscordMind stores the minimum server-level data needed to operate the service. We do not store voice audio, transcripts, message content, or any personally identifiable information beyond what Discord provides at the server level.
- Server registration data — Discord server (guild) ID and server name, collected when DiscordMind is added to a server.
- Subscription and entitlement data — Discord entitlement IDs, subscription IDs, SKU IDs, and subscription date ranges, used to track your server's plan (Free or Pro).
- Server configuration — Digest settings (channel IDs, source channel IDs, schedule, timezone) and meeting settings (selected transcription service), configured via bot commands.
- Daily usage statistics — Aggregate AI token and transcription-second usage totals per server per day, used to enforce plan limits. These are reset daily and contain no message or audio content.
3. What We Process (Not Store)
The following data is handled in-memory during an active session only. It is never written to our database or retained after the session ends:

Voice audio — Audio is captured and processed in-memory during an active
/meetingsession for transcription only. - Transcripts & summaries — Text is generated in-memory and posted directly to your Discord channel. We do not keep a copy.

Text-channel messages — Messages are read in-memory during a
/digestrun to generate the digest post. They are not stored by DiscordMind. - Discord user IDs — Used in-memory solely to route responses (e.g., consent notices) to the correct user. Not stored by DiscordMind.
4. How We Use Information
- To register your server and deliver bot features.
- To transcribe meeting audio and post a summary to your Discord channel.
- To generate and post daily digest messages.
- To enforce daily usage limits based on your subscription plan.
- To track and manage your Discord subscription entitlement (Free or Pro).
We do not sell your data.
We do not use your data to train AI models.
We do not store voice audio, transcripts, or message content.
5. Recording Consent
When a /meeting recording starts, DiscordMind posts a visible embed in the text
channel and plays an audio notice in the voice channel informing all participants that recording
is in progress. Any participant who does not consent may leave the voice channel at any time to
opt out of being recorded.
6. Third-Party AI Processing
To provide transcription and summarisation, audio and text content is sent to third-party AI providers during processing. The specific provider depends on your server's configuration:
- Sarvam AI (default transcription) — Used for speech-to-text with bilingual Bangla/English support. See Sarvam AI's Privacy Policy.
- AssemblyAI (optional transcription) — Alternative speech-to-text service. See AssemblyAI's Privacy Policy.
- ElevenLabs (optional transcription) — Alternative speech-to-text service. See ElevenLabs' Privacy Policy.
- OpenAI — Used for AI-generated summaries and digests, and for text-to-speech consent announcements. See OpenAI's Privacy Policy.
Data is shared with these providers only for the duration of the processing request and solely to deliver the DiscordMind feature you triggered.
7. Data Retention
Server configuration and subscription data is retained for as long as DiscordMind remains active on your server or until you request deletion. Daily usage statistics are retained on a rolling basis to enforce plan limits. Voice audio, transcripts, and message content are never retained.
8. Data Deletion Requests
You may request deletion of your server's stored data (registration, configuration, subscription records, and usage statistics) by emailing privacy@discordmind.app with your Discord server ID. We will process deletion requests within a reasonable timeframe.
To remove meeting summaries or digest posts from your Discord server, delete those messages directly in Discord — we do not store copies on our end.
9. Children's Privacy
DiscordMind is not directed to children under 13. You must comply with Discord's age requirements when using DiscordMind.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Continued use of DiscordMind after changes means you accept the updated policy.
